Snow School Administrative Assistant

Hidden Valley Highlands Ski Area is seeking a highly organized and detail-oriented Snow School Administrative Assistant to support the daily operations of our Snow School. This role is crucial for ensuring the smooth administrative functioning of lessons, programs, and staff coordination, contributing to an exceptional guest experience.
Key Responsibilities
Administrative Support
- Provide comprehensive administrative support to the Snow School Director..
- Manage and maintain accurate records for all Snow School programs, lessons, and participant information.
- Assist with scheduling and booking of private and group lessons, ensuring efficient allocation of instructors.
- Prepare and distribute necessary documents, reports, and communications for the Snow School.
- Maintain an organized filing system for all Snow School-related paperwork.
Customer Service
- Act as the primary point of contact for all Snow School inquiries via phone, email, and in-person.
- Provide accurate information regarding Snow School programs, pricing, and availability.
- Process registrations, payments, and cancellations for lessons and programs.
- Resolve customer concerns and inquiries professionally and efficiently.
- Ensure a high level of customer satisfaction for all Snow School guests.
Staff Support
- Assist with the onboarding and administrative tasks for new Snow School instructors.
- Maintain instructor records, certifications, and scheduling information.
- Support payroll administration by ensuring accurate submission of instructor hours.
- Assist in coordinating staff meetings and training sessions.
Communication
- Communicate effectively with other departments within Hidden Valley Highlands Ski Area to ensure seamless operations.
- Disseminate important information to Snow School staff and management.
Equipment and Facility
- Assist in maintaining an organized and presentable Snow School office and reception area.
- Oversee the inventory of administrative supplies and reorder as needed.
Qualifications
- Proven experience in an administrative or customer service role, preferably in a fast-paced environment.
- Excellent organizational and multitasking skills with a strong attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong verbal and written communication skills.
- Ability to work independently and as part of a team.
- Knowledge of snow sports, ski and/or snowboard instructor certification, and previous experience in a ski resort setting are assets.
- Ability to handle sensitive information with confidentiality.
Working Conditions
This position is primarily office-based, but may require occasional support in outdoor areas, particularly during peak operational times. The Snow School Administrative Assistant will interact frequently with guests and staff.
